They run as desktop software after extraction and do not install through Windows Setup. ## 1. Choose the correct Windows download - **Windows x64:** for standard Intel or AMD Windows 10/11 computers. - **Windows ARM64:** for compatible ARM-based Windows computers. The website shows the version, architecture, file size, and checksum beside each download. ## 2. Run AirBoard from the portable package 1. Download the AirBoard ZIP for the computer’s architecture from the official AirBoard website. 2. Compare its SHA-256 checksum with the value published on the Downloads page. 3. In File Explorer, right-click the ZIP and choose **Extract All**. 4. Choose a permanent folder, such as `C:\AirBoard`, then select **Extract**. 5. Open the extracted folder and double-click **AirBoard.exe**. 6. If Windows displays a protection prompt, verify that the file came from the official website before choosing the available run option. 7. Optionally right-click **AirBoard.exe** and choose **Show more options → Send to → Desktop (create shortcut)**. Keep the extracted folder intact because the application needs the files stored beside `AirBoard.exe`. ## 3. First launch: enter the client’s airline information AirBoard opens a seven-step company setup. Only facts entered or approved by the operator become authoritative. ### Step 1 — Company and AOC Enter: - legal company name and trading name; - country, time zone, base, and primary currency. The base is intentionally blank: search by IATA, ICAO, city, or airport name and select the operator’s real airport; - operation type; - IATA and ICAO designators; - AOC number and competent authority; - fiscal-year start. Only the legal company name is required to continue. Missing regulated information becomes a visible setup task. ### Step 2 — Fleet Search the included aircraft catalogue, add each aircraft tail separately, and enter: - registration and serial/MSN; - operating status and seats; - approved fuel consumption by hour; - average operating speed; - taxi fuel and reserve percentage; - opening hours and cycles. Catalogue values identify aircraft types. The airline remains responsible for approved AFM/FCOM, configuration, performance, maintenance, and flight-planning data. ### Step 3 — People and teams Confirm accountable and nominated people, then enable the teams used by the airline. Configure role permissions before adding real operational data. ### Step 4 — Compliance Create the registers for SMS, controlled manuals, airworthiness, qualifications, training, medicals, FTL, insurance, contracts, stations, handlers, and evidence. AirBoard supports evidence and workflow control. It does not replace qualified personnel, approved manuals, operational control, CAMO, or authority approval. ### Step 5 — Costs and expenses Enter known rules for fuel, crew, airport charges, maintenance, wheels, tyres, brakes, spares, parking, and accounting. **Insurance is included by default.** Choose how hull, liability, war-risk, passenger, crew, or other insurance is allocated: - productive block hour; - aircraft day; - flight; - exposure-weighted allocation. To add an operator-specific expense type: 1. Open **Finance**. 2. Select **New Expense Type**. 3. Enter a name, such as “Crew hotel overflow” or “Permit renewal.” 4. Enter the amount or reusable rate. 5. Choose one-off, per-flight, daily, weekly, monthly, quarterly, or annual frequency. 6. Choose flight, block-hour, cycle, passenger, aircraft-day, or company-overhead allocation. 7. Add the supplier, insurer, or payee and a note. 8. Save. The new type appears immediately in the expense register and contributes to the connected operating-cost view. ### Step 6 — Stations, sales, and data Search and add bases and destination airports from AirBoard’s reference catalogue of more than 4,200 scheduled-service airports. The primary base uses the same search and is not prefilled. Then identify airport-tariff, handling, sales, accounting, backup, and AI-approval policies. The catalogue identifies airports; reconcile public tariffs against contracts, incentives, exemptions, effective dates, passenger mix, and invoices. ### Step 7 — Review and create Review readiness, missing owners, missing approvals, fleet gaps, and tariff/cost tasks. Create the company workspace when the summary is correct. Every value remains editable from the administrator profile. ## 4. Start the demo or activate a license ### Three-day demo Select **Start full demo** during setup. The demo enables all available modules for three days on that installation. ### One-year license 1. Buy the annual AirBoard Complete license on the official website. 2. Copy the code issued after the verified Stripe payment. 3. In AirBoard, open **License**. 4. Paste the complete `AIRBOARD1...` code. 5. Select **Activate License**. 6. Confirm the company and expiration date shown by AirBoard. The application verifies the Ed25519 signature and expiration against the Thoth Group LLC public key bundled into the release. Customer builds do not permit replacing that key. The license and demo are rechecked at launch, expired access is locked, and clock rollback invalidates the local demo receipt. Signed Windows binaries and server-side device activation remain mandatory public-release gates; no desktop protection should be described as impossible to crack. ### Automatic customer invoice At checkout, Stripe requests the customer’s email, legal/business name, billing address, country, and applicable tax ID. After payment, Stripe creates the subscription invoice automatically. The success page shows the invoice number and provides secure links to view or download the invoice PDF. The operator must configure and verify Thoth Group LLC’s legal, tax, invoice-numbering, and live-account details in Stripe before public sales. ## 5. Daily use - Use **Overview** for the operating result, revenue, costs, margin, flight status, fleet readiness, and audit score. - Use **Operations** for flights, dispatch, rotations, and disruptions. - Use **Planning** for routes, schedules, slots, utilization, and scenario economics. - Use **Finance** for insurance, standard expenses, custom expense types, invoices, and allocation. - Use **Fleet**, **Crew**, **Fuel**, **Maintenance**, **Airports & Ground**, **Inflight & Catering**, and **Spares & Procurement** for departmental records. - Use **Run Audit** to create the management/control picture. - Use **Ask AI** for evidence-backed advice. A qualified person must approve financial, safety, airworthiness, crew, and operational changes. ## 6. Editing client information Open the company profile in the lower-left corner and select company settings. Move between the seven setup steps, change the required data, and select **Save Changes**. The company name, fleet, team structure, cost rules, insurance allocation, stations, and policies are editable. ## 7. Local data, backup, and migration This release candidate stores company information, records, demo/license state, and audit metadata in the Windows application-data area for the signed-in user. Before production rollout: - define a company backup destination; - restrict access using Windows user and company policies; - test restore on another controlled Windows device; - retain financial and regulatory evidence under the operator’s policy; - never copy the Thoth License Studio private signing key into the client application. Automated backup, encrypted export, restore verification, and multi-device synchronization remain production release gates unless separately validated for the customer environment. ## 8. Updating 1. Back up company data. 2. Download the new signed setup `.exe`. 3. Quit AirBoard. 4. Run the installer and follow the update steps. 5. Open AirBoard and confirm the company, records, license, and version. 6. Run the audit and a sample expense calculation. ## 9. Uninstalling 1. Quit AirBoard. 2. Open **Settings → Apps → Installed apps**. 3. Find **AirBoard**, open its menu, and choose **Uninstall**. 4. Keep the application-data folder if the company may reinstall. 5. Remove local company data only after an authorized backup and written approval. ## 10. Troubleshooting - **Unknown publisher or SmartScreen warning:** cancel and obtain the signed release. - **Installer will not start:** confirm Windows architecture, company security policy, disk space, and checksum. - **License rejected:** copy the entire code, confirm the computer clock, and confirm that the code belongs to the client company. - **Missing expense:** open Finance, verify the expense type, date, amount, and allocation. - **Wrong trip result:** check aircraft burn, route distance, fuel price, crew rule, airport tariff/effective date, passenger count, insurance allocation, and custom expenses. - **Data not visible:** confirm the Windows user, company workspace, and active module, then reopen AirBoard. ## 11. Administrator acceptance checklist - [ ] Windows x64 and ARM64 installers build on the Windows release runner. - [ ] Both installers have a valid Thoth Group LLC code signature. - [ ] SmartScreen/publisher presentation is reviewed. - [ ] Clean Windows 10 x64 installation passes. - [ ] Clean Windows 11 x64 installation passes. - [ ] Compatible Windows ARM64 installation passes. - [ ] Install folder, Start menu, desktop shortcut, launch, update, and uninstall pass. - [ ] Seven-step client setup saves and edits. - [ ] Insurance and a new custom expense type recalculate the trip result. - [ ] Three-day demo starts once. - [ ] Paid license activates and expires correctly. - [ ] Backup and restore are tested. - [ ] Website checksum matches the installer. - [ ] Stripe test and live checkout each complete successfully.
